This privacy policy explains how Tolkvi AB processes personal data on Tolkvi’s website and in the contact form. It does not apply to use of the Tolkvi platform, customer workspaces or invited accounts, which will be covered by separate terms when applicable.

Tolkvi AB is the controller for the processing of personal data that takes place on Tolkvi’s website and in the contact form.

What data we process
When you use the contact form, we process the information you submit, such as name, email address, organization, topic and message.
The technical operation of the website may also involve server logs, such as timestamp, IP address, browser information, requested page and technical status code.
Why we use the data
We use the data to respond to your contact request, manage the dialogue, protect the website from abuse and maintain reliable operation.
The checkbox in the contact form confirms that you understand how the information is used to respond to your request. It is not consent to marketing.
Legal basis
Contact requests are processed on the basis of legitimate interest, because both you and Tolkvi have an interest in handling and responding to the message.
Technical logs and security-related processing are based on legitimate interest in protecting the website and its operation. If certain processing is required by law, legal obligation may be used as the basis.
Retention and recipients
Contact requests are kept for as long as needed to handle the request and follow up the dialogue, normally no longer than twelve (12) months after the contact has ended. If a request leads to an agreement, legal obligation or matter that needs follow-up, data may be kept longer to the extent necessary.
Technical logs are kept only as long as needed for operation, security and troubleshooting, normally no longer than ninety (90) days unless they need to be retained longer to investigate abuse, security incidents or legal claims.
Tolkvi AB is responsible for the processing of personal data on the website and in the contact form. To provide, protect and troubleshoot the website, we use established technical tools and suppliers for areas such as hosting, email, security and technical operation. If such tools or suppliers process personal data, they do so on our behalf and according to our instructions.
We do not sell personal data.
Hosting environment and transfers
For the Swedish and European markets, Tolkvi’s starting point is that personal data in the contact form and future platform services is processed within the EU/EEA.
Tolkvi’s public website may be delivered through global hosting infrastructure to make static website files available securely and quickly. This may involve our hosting provider processing technical request information, such as IP address and requested page, for operation, security and troubleshooting.
If Tolkvi introduces new services or suppliers that change how personal data is processed, we will update this information before that processing is used.
Your rights
You may request access to your personal data, rectification, erasure, restriction of processing and object to processing where applicable.
You also have the right to lodge a complaint with the Swedish Authority for Privacy Protection if you believe personal data is being processed incorrectly.
